What will be your key responsibilities?
- Dealing with highly sensitive and confidential information showing very high integrity & trust
- Act as the first point of contact for the stakeholders for any requests, calls or meetings – both internally and externally
- Ability to support different projects and agendas for busy stakeholders
- Provide exceptional administrative support, including proactive diary management, anticipating events and deciding upon the action required, acting upon key requests, and resolving issues as they arise. Being proactive is key to success in this role
- Planning & executing complex and fast-changing domestic and international travel including all transportation and accommodation. Obtaining all necessary visas and travel documents through a company travel agent. Attention to detail is key to this role
- Process all expenses using appropriate systems in a timely manner and raise POs, ensuring suppliers are paid on time
- Plan other management events during the year including contracting hotels, ground transportation, meeting facilities, caterers, restaurants, etc.
- Taking the initiative to identify and undertake opportunities that add value to the efficient operation of the role.
- Liaising & networking with other assistants to learn and implement best practices for your stakeholders
- Provide meeting management support to committees and regional meetings as needed, including meeting rooms, minutes, and actions.
What will be your key responsibilities?
- Plan & execute complex, detailed travel itineraries including all transportation, hotel accommodations; obtain all necessary visas & travel documents.
- Take the initiative to identify and undertake opportunities that add value to the efficient operation of your stakeholders.
- Expense reporting and vacation tracking.
- Actively manage/maintain electronic calendars and arrange meetings (virtual/in-person), and other appointments across multiple time zones.
- Process all correspondence.
- Maintain up-to-date/accurate information on applicable databases.
- Plan meetings/events including contracting hotels, ground transportation, meeting facilities, caterers, restaurants, etc.
- Print, collate, produce and distribute highly confidential books and/or special documents as requested.
- Generate requisitions for Purchase Orders as necessary
